How to switch your Microsoft CSP partner without losing data.

You can switch Microsoft CSP partner without losing data or downtime. Here is the exact process.

The short answer

Your data does not move. Only billing does.

Switching CSP partner does not touch your Microsoft tenant. Your mailboxes, SharePoint sites, Teams channels, OneDrive files, and all Entra ID objects belong to you and never transfer. They stay exactly where they are.

What changes is billing ownership (who invoices you for licences) and delegated admin access (which partner can manage your tenant). Both are administrative changes that happen in Microsoft Partner Center. Your users see nothing.

As long as there is no licence gap between your old and new partner, your users remain licensed throughout. The process below transfers subscriptions mid-term, so there is no gap.

The process

Four phases to complete your CSP partner switch.

This is the verified process based on Microsoft Learn documentation. Each phase is discrete and reversible until the final step.

01

Establish the new reseller relationship

Modern 42 sends you a reseller relationship invitation link from Partner Center. Your Global Admin accepts it in the Microsoft 365 admin centre under Settings > Partner relationships. You can hold both the old and new partner relationships simultaneously during transition. No disruption occurs at this stage.

02

Set up GDAP

Modern 42 requests Granular Delegated Admin Privileges with the specific Entra ID roles needed to manage your environment, for a defined duration (max 730 days). Your Global Admin approves the GDAP request. This replaces the deprecated legacy DAP model and follows the least-privilege principle Microsoft now requires. GDAP requests expire after 90 days if not actioned.

03

Transfer NCE subscriptions

Modern 42 initiates the subscription transfer in Partner Center using your current partner's tenant ID. Your current partner accepts and submits the transfer. Subscriptions move mid-term without cancellation, with no new cancellation window granted. Up to 25 licence line items can be transferred per request. Transfer requests expire after 30 days if the source partner does not respond.

04

Remove the old reseller relationship

Once all subscriptions are transferred or cancelled, your old partner removes the reseller relationship from their side in Partner Center. The customer cannot remove it themselves. After this step the transition is complete and Modern 42 is your sole CSP partner of record.

What to watch

Common pitfalls and how to avoid them.

Do not cancel subscriptions before transferring

Cancelling an NCE subscription before it is accepted by the new partner creates a licence gap. Your users lose access until new licences are assigned. Always use the transfer process, not cancel-and-rebuy.

Transferred subscriptions do not get a new cancellation window

The 7-day post-purchase cancellation window does not reset on transfer. If you need flexibility on a specific subscription, clarify this before transferring.

Watch renewal timing

If a subscription auto-renews before the transfer completes, it renews under your old partner for another term. Identify upcoming renewal dates and initiate transfers well before those dates.

The source partner can block a transfer

Microsoft will not force a reluctant CSP partner to accept a transfer request. Transfer requests expire after 30 days if the source partner does not respond. If your current partner is uncooperative, escalate to Microsoft directly.

Web-direct tenants cannot use partner-to-partner transfer

If your Microsoft 365 subscriptions were purchased directly from Microsoft (MOSA/web-direct), the NCE partner-to-partner transfer tool does not apply. A different process is needed.

Indirect resellers: the indirect provider is billing owner

For indirect resellers like Modern 42, the indirect provider (distributor) owns the billing relationship and must be involved in sending and approving transfers. Modern 42 manages this process on your behalf.

Why organisations switch

The signs it is time to move on.

Most Microsoft 365 organisations switch CSP partner for one of these reasons.

Reactive-only support

Your partner responds to break-fix tickets but never proactively flags licensing changes, security gaps, or upcoming price changes. You find out about issues after they affect users.

Overpaying through licence sprawl

Licences accumulate as staff change roles or leave. Wrong plans, duplicate assignments, and unused features add cost every month. A specialist CSP partner identifies and fixes this.

No identity or security capability

Microsoft 365 is increasingly a security platform, not just email and documents. Conditional Access, Entra ID, and Defender for Business require specialist knowledge most generalist resellers lack.

Opaque pricing

You are paying invoice prices without a clear view of your cost per seat, what plan tier you are on, or whether cheaper alternatives exist. Pricing should be transparent and explainable.

Incumbent losing CSP authorisation

Some resellers let their Microsoft partner status lapse. If your CSP partner loses authorisation, your subscriptions are at risk. Moving proactively is better than waiting for a forced migration.

No guidance on plan changes

Microsoft pricing and plan structures change regularly. The 1 July 2026 price changes to Business plans are a current example. Your partner should be briefing you, not leaving you to find out yourself.

FAQ

Switching Microsoft CSP partner

Common questions about switching your Microsoft 365 CSP partner in Australia.

No. Switching CSP partner does not touch your tenant. Your mailboxes, SharePoint sites, Teams, OneDrive files, and all Entra ID objects stay exactly where they are. Only billing ownership and delegated admin access change hands. As long as there is no licence gap between the old and new partner, your users remain licensed and unaffected throughout.
There is no Microsoft fee to switch CSP partner. You continue paying for the same licences at the same or better price. If your new partner prices lower, you save from the next billing cycle. The only cost risk is double-billing, which you avoid by transferring subscriptions rather than cancelling and re-purchasing. Modern 42 coordinates the transfer process with you and your current partner.
Yes. New Commerce Experience (NCE) subscriptions support mid-term transfers without cancellation. The subscription continues under the new partner on the same end date. You do not lose any remaining term value, and a transferred subscription does not receive a new 7-day cancellation window. The one thing to plan is renewal timing: if a subscription is close to auto-renewal, align the transfer before that date to avoid an unwanted renewal under your old partner.
The overall process typically takes one to two weeks from initial contact. The new reseller relationship and GDAP setup can be completed in a few hours once both parties act. The NCE subscription transfer requires the source partner to accept the request, which can take a few days. Transfer requests expire after 30 days if the source partner does not respond. Microsoft will not force a reluctant partner to accept.
GDAP stands for Granular Delegated Admin Privileges. It replaced legacy Delegated Admin Privileges (DAP) in October 2023. GDAP gives your new partner the specific Entra ID roles they need to manage your environment, for a set duration of up to 730 days. Unlike old DAP, GDAP is least-privilege by design. You approve exactly which roles are granted, and GDAP can auto-extend (except roles that include Global Administrator). It is the model Microsoft requires for all modern CSP relationships.
